The University of California explains why it choose Google over Microsoft

The University of California at Berkeley just decided to move off its old email system, and it chose Gmail over Microsoft's Office 365.

In basic terms, the University of California decided it could get Google Apps up and running faster and for less money.

The University found out that to move to Office 365, it would have had to do a double migration -- first to an on-premise version of Exchange, then to the online version in Google Apps. This pokes a hole in Microsoft's claim that Office 365 is a true cloud-based competitor to Office 365. (This double migration wouldn't be required in all cases, but it's NEVER required with Google Apps.)

Here's where Google had the biggest advantages:

Cheaper support during the migration - since other universities in the UC system have already migrated to Google Apps, Cal can rely on them to provide some support. With Microsoft, it would have to turn to Microsoft Consulting Services "at a significant cost to the project."

Faster to set up - Deploying Gmail will take six to ten weeks, and the university will be able to keep some recent changes it made to its email routing system. With Office 365, the university has to move from its current system to an on-premises version of Exchange first. Then, it can move from Exchange to Office 365. It will also have to throw out most of the routing infrastructure it just installed.

Works with existing software - Gmail integrates with other Google products that some university departments use, and with the document storage and management system from Box, which the university already bought. Office 365 can work with SharePoint and Lync (which it mistakenly calls Lynx), but it was not interested in those solutions and didn't even consider them.

Easier to develop on - More people on campus know how to work with Google Apps than with Microsoft's Exchange.

Migration of email groups - Google has a product that could be used to migrate Cal's existing Mailman mailing lists to Gmail. Microsoft recommended against even trying to migrate Mailman to Exchange.

The solutions were pretty close in other areas, like delegated administration (neither was great, but Google was slightly better), user familiarity (it depends on what product people are using today), and mobile support.

The web is the epicenter of innovation, and Google's multi-tenant infrastructure is designed so it can push improvements to its entire customer base on short iteration cycles. Google can deliver new functionality on a weekly basis, or faster, because its systems are able to distribute updates so efficiently.

In 2009 alone, Google launched over 100 improvements, and customers didn't need to manage any upgrades or patches. In contrast, businesses tend to update traditional server software every five to seven years due to long release cycles from vendors and the cost and complexity businesses face implementing upgrades, especially when more powerful servers are required, like 64-bit hardware.

Browser-based applications are another key ingredient in Google's recipe for rapid innovation. When Google launch new features, users automatically get these improvements just by refreshing their browsers. Google's mobile browser applications also get new features without software updates. With traditional technology and "software plus services", client software is an innovation bottleneck. Even after back-end systems can support new features, users don't get new functionality in those environments until the software on their computers and mobile phones have been upgraded, which can be an expensive and labor-intensive project.

If you choose notto allow offline mail storage, you can continue to use Gmail Offline (whileonline), but no mail will be stored on your browser1 and therefore no mailwill be available offline. Google Apps for Business Overview

Google have been working this summer to make more updates and improvements.

With Google Apps you can see and get the new features of Gmail:

Streamlined conversations - conversation view has been completely redesigned to help you read through your email threads. You’ll now see profiles pictures for your contacts, so it’s easier to keep track of who said what. Google also stripped out as much as possible so you can focus on communicating with your friends and colleagues.

Elastic density - Google knows that you use Gmail from a variety of screen sizes and devices, so now the spacing between elements on the screen will automatically change based on the kind of display you’re using. If you prefer a denser view all the time, you can change your density manually in the Settings menu.

New HD themes - themes have been completely rebuilt to bring you a new set of beautiful high resolution themes. Google have updated most of the old favorites as well and your theme will be automatically carried over to the new look.

Smarter navigation - the navigation panel keeps your labels and chat contacts in view at all times. It's also more customizable: you can resize the labels and chat areas if you want to see more, or hide the chat area entirely via the chat icon in the lower left. You can also use the arrow keys to navigate around the interface.

Better search - click the dropdown in the search box to see a new advanced search panel, which makes it easier and faster to find exactly what you're looking for. You can use the same panel to create a filter from any search in just a few clicks.

There's a good chance Google's music storefront will launch within the next few weeks, perhaps sometime this week, even if the company only lands licensing agreements with two of the four major record labels. That means the music-sharing "twist" revealed last week -- where Google Music users can purchase and share songs -- will only be available to songs by the two record labels that have actually signed on.

Currently Google Music users can upload their purchased music to Google's servers and either stream them back to a desktop or mobile browser, or use Android's headphone-themed Music app to stream the music to a tablet or smartphone. Users can also re-download their songs to a local hard drive or SD card to listen in offline mode and conserve costly data usage.

Google Considering Europe For Its Next Blazing Fast Fiber Network

Google may look to Europe to build its next super-fast fiber optic network.

Chief counsel David Drummond said that the company is "looking very closely" at Europe for its next rollout, according to a report in MarketWatch.

Earlier this year, Google started rolling out its first fiber network in Kansas City, Kansas, with an expansion planned to the bigger K.C. in Missouri next year.

Google benefits from faster Internet access because it gets more people online, where they're more likely to see a Google-served advertisement.

But long-term, having fiber networks could also help Google deliver video content directly to the home -- in effect, it could become an IPTV provider like Verizon or AT&T in the U.S.

Google is already investing in original content for YouTube is still considering a big bid for Hulu as well. It has an interactive TV software platform in Google TV. And once the Motorola acquisition closes, it will also own the largest provider of cable TV set-top boxes.

So with all those pieces in place, Google becoming a TV provider doesn't sound all that outlandish. :)

Today’s update to the app makes Google Docs work better than ever on your tablet. With an entirely new design, Google have customized the look to make the most of the larger screen space on tablets. The layout includes:

A three-panel view, which allows you to navigate through filters and collections;
View your document list and see document details, all at once.

Looking at the details panel on the right side, you can see a thumbnail to preview a document and its details before opening it. From the panel, you can see who can view or edit any doc.

These features are now available in 46 languages on tablet devices with Android 3.0+ (Honeycomb) and above.

A new version of Gmail featuring a revamped look, redesigned conversation threads and improved search is slated for pending released.

Here’s some of what you can expect:

Gmail will expand dynamically to accommodate any window size;
users can adjust the size of label and chat areas;
themes will include high-definition imagery;
conversations — a.k.a. email threads — have been redesigned for readability and will include profile pictures (conversations look like more status updates);
search has been made more user-friendly, which means regular users can stop worrying about using Gmail search operators and simply input text into fields to find email messages.

This strikes us as the most dramatic change to Gmail since its debut, and likely marks a concerted attempt by Google to modernize and simplify the Gmail interface for the mainstream email user.

Google + will support Google Apps in the next few days

Google has announced that Google+ will support Google Apps accounts within the next few days.

Google SVP of social Vic Gundotra said Google Apps support was coming “imminently” during a Q&A at the Web 2.0 Summit in San Francisco. Gundotra made it clear that “imminently” meant within the next few days.

The reason Google didn’t launch Google Apps support during the original release of Google+ was because the company thought “it would have more time.” Google+ beat their expectations, though, and has forced them to scramble on what is Google+’s most-requested features.

Google also announced that Google+ will soon support pseudonyms, though nobody should expect that to roll out in the next few days.

Apple founder and CEO, Steve Jobs, has died at the age of 56. Steve was one of the most remarkable entrepreneurs and inspirational leaders in history.

Nobody else in the computer industry, or any other industry for that matter, could put on a show like Steve Jobs. His product launches, at which he would stand alone on a black stage and conjure up a “magical” or “incredible” new electronic gadget in front of an awed crowd, were the performances of a master showman. All computers do is fetch and shuffle numbers, he once explained, but do it fast enough and “the results appear to be magic”. He spent his life packaging that magic into elegantly designed, easy to use products.

Mr. Jobs was a man ahead of his time during his first stint at Apple. Computing’s early years were dominated by technical types. But his emphasis on design and ease of use gave him the edge later on. Elegance, simplicity and an understanding of other fields came to matter in a world in which computers are fashion items, carried by everyone, that can do almost anything. “Technology alone is not enough,” said Mr. Jobs at the end of his speech introducing the iPad, in January 2010. “It’s technology married with liberal arts, married with humanities, that yields the results that make our hearts sing.” It was an unusual statement for the head of a technology firm, but it was vintage Steve Jobs.

His interdisciplinary approach was backed up by an obsessive attention to detail. “For you to sleep well at night, the aesthetic, the quality, has to be carried all the way through.” He insisted that the first Macintosh should have no internal cooling fan, so that it would be silent—putting user needs above engineering convenience. He called an Apple engineer one weekend with an urgent request: the colour of one letter of an on-screen logo on the iPhone was not quite the right shade of yellow. He often wrote or rewrote the text of Apple’s advertisements himself.

His on-stage persona as a Zen-like mystic notwithstanding, Mr. Jobs was an autocratic manager with a fierce temper. But his egomania was largely justified. He eschewed market researchers and focus groups, preferring to trust his own instincts when evaluating potential new products. “A lot of times, people don’t know what they want until you show it to them,” he said. His judgment proved uncannily accurate: by the end of his career the hits far outweighed the misses. Mr. Jobs was said by an engineer in the early years of Apple to emit a “reality distortion field”, such were his powers of persuasion. But in the end he changed reality, channeling the magic of computing into products that reshaped music, telecoms and media. The man who said in his youth that he wanted to “put a ding in the universe” did just that.

Google is after Apple!

Google opened is first retail Outlet in London.

Make no mistake: Google is going directly after Apple.

It already has the most popular smartphone platform in the world. With the purchase of Motorola, it will have a credible hardware arm.

And now, it's opened its first retail outlet.

As the London Evening Standard reports, it's just a small "pop up" store within a U.K. computer retailer called PC World. Right now, it only sells Chromebooks and headphones, and it will only run for a few months until Christmas.

It's called the Chrome Zone — the same name as the outlets in several U.S. airports that let you pick up a Chromebook before you fly out on Virgin Airlines.

It's just an experiment for now. A spokesperson told the Standard "It's something Google is going to play with and see where it leads."

Google doesn't have enough products to sell to justify its own line of retail stores. Yet. But by the time it does, look for a gleaming chain of Google Stores to sell whatever it comes up with.

How our cloud does more with less

We’ve worked hard to reduce the amount of energy our services use. In fact, to provide you with Google products for a month—not just search, but Google+, Gmail, YouTube and everything else we have to offer—our servers use less energy per user than a light left on for three hours. And, because we’ve been a carbon-neutral company since 2007, even that small amount of energy is offset completely, so the carbon footprint of your life on Google is zero.

We’ve learned a lot in the process of reducing our environmental impact, so we’ve added a new section called “The Big Picture” to our Google Green site with numbers on our annual energy use and carbon footprint.

We started the process of getting to zero by making sure our operations use as little energy as possible. For the last decade, energy use has been an obsession. We’ve designed and built some of the most efficient servers and data centers in the world—using half the electricity of a typical data center. Our newest facility in Hamina, Finland, opening this weekend, uses a unique seawater cooling system that requires very little electricity.

Whenever possible, we use renewable energy. We have a large solar panel installation at our Mountain View campus, and we’ve purchased the output of two wind farms to power our data centers. For the greenhouse gas emissions we can’t eliminate, we purchase high-quality carbon offsets.

But we’re not stopping there. By investing hundreds of millions of dollars in renewable energy projects and companies, we’re helping to create 1.7 GW of renewable power. That’s the same amount of energy used to power over 350,000 homes, and far more than what our operations consume.

Finally, our products can help people reduce their own carbon footprints. The study (PDF) we released yesterday on Gmail is just one example of how cloud-based services can be much more energy efficient than locally hosted services helping businesses cut their electricity bills.

Gmail: It’s cooler in the Cloud

Cloud computing is secure, simple, keeps you productive and saves you money. But the cloud can also save energy. A recent report by the Carbon Disclosure Project (CDP) and Verdantix estimates that cloud computing has the potential to reduce global carbon emissions by millions of metric tons. And Jonathan Koomey, a consulting professor at Stanford who has led several studies on data center energy use, has written that for many enterprises, the cloud “is significantly more energy efficient than using in-house data centers.”

Because we’re committed to sustainability, we sharpened our pencils and looked at our own services to see how they stack up against the alternatives.

We compared Gmail to the traditional enterprise email solutions it’s replaced for more than 4 million businesses. The results were clear: switching to Gmail can be almost 80 times more energy efficient (PDF) than running in-house email. This is because cloud-based services are typically housed in highly efficient data centers that operate at higher server utilization rates and use hardware and software that’s built specifically for the services they provide—conditions that small businesses are rarely able to create on their own.

Google Chrome Gets Offline Access for Gmail, Docs, Calendar

Google on Wednesday unveiled a Chrome Web Store app that allows for offline access in Chrome for Gmail, as well as Google Docs and Calendar.

According to Alex Nicolaou, Google Engineering Manager: “Today’s world doesn’t slow down when you’re offline, so it’s a great feeling to be productive from anywhere, on any device, at any time. We recognize that offline access is important to many of you - especially for Chromebook users who spend most of their time living on the Web.”.

Alex Nicolaou also says that the app help us read, respond to, organize and archive our e-mail, even thought we don’t have an Internet connection.

Offline Gmail access is available today; access for Google Calendar and Google Docs will be rolling out over the next week. In Google Calendar's offline mode, users can view events and RSVP to appointments. In Google Docs, users can view docs and spreadsheets; offline editing is still in the works.

Google first announced offline Gmail in January 2009 as a Google Labs app.

Salesforce.com is introducing a new round of features to its Chatter social-networking platform, in effect increasing its bet that businesses will want to give their workers a Facebook- and Twitter-style experience.

The company recently acquired Navajo Systems, an Israeli security encryption vendor that previously offered encryption services for Salesforce’s customers.

Chatter allows employees to post comments and share files in a Facebook-style environment. These additions will include Chatter Now, an instant messaging tool that shows when colleagues are online; Chatter Connect, which will integrate Chatter into third-party applications; and Chatter Customer Groups, which will let employees invite people from outside an organization into the Chatter network. Salesforce plans on making all three available sometime in early 2012.

Free calls home from Gmail for all U.S. service members

We understand that it’s not always easy or affordable for our troops serving overseas to call friends and family at home, so starting today we’re making it completely free for all uniformed military personnel with valid United States Military (.mil) email addresses to call the United States, right from Gmail.

There are two easy steps to enable free calling from Gmail (detailed instructions):

Add your valid .mil email address to your Google Account
Click on the Call phone link at the top of the Gmail chat roster and install the voice and video Gmail plugin if you haven’t already.

And don’t forget that for friends and family at home in the U.S., calling troops abroad is as little as $.02/minute.

Similar to free calling within the U.S., free calling to the U.S. for service members will be available for at least the rest of 2011.

In January and February, White Stratus surveyed 2,030 U.S. companies with more than 250 employees, and talked in depth to 232 IT departments selected randomly from those companies. Here's a summary of what they found:

Google Apps is getting popular. Almost 20% of the companies surveyed have deployed Google Apps in some form.

Especially among big companies. Penetration was highest among companies with more than 10,000 employees -- this contradicts the conventional wisdom that Apps is only for smaller businesses.

It's not just pilots. Of these Google Apps customers, about one-third of IT department heads surveyed said that they were using Google Apps throughout their organization -- not just in pilot programs.
